NAME OF PERSONAL DATA REGISTER

Jobseeker register drawn and maintained by Kipinä Oy employment agency

GROUNDS FOR KEEPING DATA REGISTER

The register is used for collecting information that Kipinä Oy needs in recruiting and relocating employees and in creating and maintaining an employment relationship. A job seeker can assign an application to a given job offer or submit an open application. The collection of personal data is based on the consent of the job seeker. The application information provided by the job seeker will be retained and used in the jobseekers register for a period of twenty-four (24) months, after which it will be deleted. At the jobseeker's own request, the data concerning him or her will be deleted immediately.

DATA CONTENT OF THE REGISTER

Name, address, postcode, post office, telephone, e-mail, date of birth, type of job looked for, preferred place of work, possibility of car use, driving license, hot work card, work safety card, forklift card, training, work experience, employer, job tasks, start and end dates of employment, type of employment,  possible start of work date, applicant's own presentation. Some of the information to be filled in is mandatory, some is voluntary.

DATA REGISTER SOURCES

The information in the register is collected from the jobseeker with his or her consent. The information collected from the jobseeker consists of the application submitted by the jobseeker, employment, school and other certificates, as well as the information provided by the jobseeker during a possible interview.

TRANSFER OF PERSONAL DATA

The personal data of the registered subjects will not be disclosed to third parties without the subjects' consent. With the consent of the data subject, certain personal data necessary for the recruitment may be disclosed to Kipinä Oy's customer company, for whose assignment the job seeker is a candidate. The data will not be disclosed outside the European Union or the European Economic Area.

PROTECTION OF THE REGISTER

The personal data stored in the register are collected in common databases, which are protected by firewalls and other appropriate technical means. The registry server devices are stored in a locked space that can only be accessed by accredited individuals. The computers on which the registry is used are password-protected and are located in locked spaces.

The access license to register is granted only to certain employees, as defined by Kipinä Oy, based on employees work tasks. The access right expires when the person leaves the tasks for which he or she has been granted the license.

Kipinä Oy demands from the service providers involved in system maintenance and service adequate data protection and commitment not to use register’s data.

RIGHT OF ACCESS

Pursuant to section 26 of the Personal Data Act, a person has the right to check the information concerning him or her in the register. The signed request for verification must be sent in writing to the registry contact person or can be submitted in person at the above address. The data subject person has the right to demand the correction of incorrect information about him/her.
